Rental terms and conditions

Purpose and acceptance

These rental terms govern requests, quotes, bookings and rentals of RLab Adventure vehicles operated by RT INVESTS SRL. They complement the quote, Booqable booking, rental agreement, check-in/check-out report and any written agreement confirmed before departure.

Any booking implies acceptance of the terms communicated to the customer. In case of contradiction, the written specific terms in the quote or signed agreement prevail over the general information on the website.

Booking and validation

A quote request or exchange by email, phone, WhatsApp or form does not automatically block a vehicle. The booking becomes effective only after confirmation of dates, vehicle, price, options and the requested payment.

Displayed availability may change until validation. The official amount is the one confirmed in Booqable, in the quote or in the rental agreement, depending on the channel used.

Price, deposit and balance

Published prices are indicative. The final price depends on dates, duration, vehicle, options, possible fees and availability. Promotions are never convertible into cash and are not cumulative unless agreed in writing.

Unless specific terms apply, the deposit is 30% of the rental amount excluding security deposit. It confirms that the vehicle is blocked and is separate from the balance, security deposit, fuel, fines, tolls and possible fees.

The balance must be paid according to the deadlines confirmed before departure. RLab Adventure may refuse vehicle handover if the balance, security deposit or required documents are not complete.

€3,000 security deposit

A €3,000 security deposit is required before vehicle handover. This deposit is not a rental price: it secures damage, costs, deductibles, missing equipment, delays, cleaning, fines, tolls or breaches observed.

The security deposit is released or refunded after vehicle inspection, subject to banking times, necessary checks and possible adjustments. A deduction may be made based on a report, quote, invoice, insurance file or agreed fixed amount.

Driver, licence and documents

The main driver must hold a valid B licence and meet the age, experience, insurance and identification conditions confirmed before rental. For RLab Adventure, the main driver must be 25 or older unless otherwise agreed in writing.

An identity document, driving licence, address, contact details and any document useful for the rental may be requested. An undeclared or non-approved driver may not drive the vehicle.

Departure, handover and return

Departure takes place at the confirmed address unless otherwise agreed in writing. The customer receives a handover of the vehicle, main equipment and safety instructions. The time needed for this handover is part of the rental and must be planned by the customer.

Return must take place on the agreed day, time and location. A return after 10 a.m. on the scheduled return day may lead to an additional day being charged. The vehicle must be returned tidy and clean, with waste removed and toilet, grey water, fuel, AdBlue and equipment instructions respected.

Mileage, fuel and costs

The included mileage is 250 km per charged day. Extra mileage is charged at €0.45/km unless specific written terms apply. Fuel, AdBlue, tolls, parking, low-emission zones, ferries, fines and taxes remain payable by the customer.

Management, adjustment and travel costs

When vehicle return requires action by RLab Adventure because of a breach, damage, incorrect level, missing equipment, diagnosis, quote, drop-off or collection at a repairer, management and intervention time may be charged at €80 excluding VAT per started hour.

Travel required for such adjustment may be charged at €0.50/km, in addition to actual costs: fuel, AdBlue, parts, consumables, repairs, deductible, quote, cleaning, tolls, parking or any external invoice.

Damage, windscreen, equipment and immobilisation

Any damage found on return, including cracked windscreen, chips, bodywork, tyres, rims, awning, furniture, upholstery, sanitary equipment, kitchen, interior or exterior equipment, may lead to a security deposit deduction, charging of actual costs and charging of required management time.

If the vehicle must be immobilised, moved or presented to a professional for inspection, repair or quote, direct costs and time spent by RLab Adventure may be charged to the customer when the cause is attributable to them.

Levels, fuel, AdBlue and compliant return

The vehicle must be returned with levels, fuel, AdBlue, grey water, toilet, cleanliness and equipment compliant with departure instructions and the contract. Any breach requiring RLab Adventure to travel, refuel, add AdBlue, empty, clean, diagnose or regularise may be charged.

Cleaning, pets and options

Options are confirmed subject to availability. Linen kits, Starlink, mobility, cleaning, pet option or other services are due when booked, used or made necessary by the vehicle condition on return.

Pets are accepted only if the option is declared and approved. The vehicle must return without smell, embedded hair, marks on fabrics, scratches, dirt or damage. Additional costs may be deducted from the security deposit.

Cancellation by the customer

Any cancellation must be sent in writing to hello@rlab-adventure.be. The effective date is the date on which the complete written request is received.

Unless more favourable specific terms are confirmed in writing, the deposit is non-refundable. Between the 14th and 8th day before departure, 50% of the total rental amount is due. From the 7th day before departure, on departure day, in case of no-show or refusal of handover attributable to the customer, 70% of the total rental amount is due.

Changes, postponement and early return

A request to change dates, vehicle or options is never automatic. It depends on availability, schedule, applicable price and written agreement from RLab Adventure.

An early return, late pick-up or partial use of the trip does not automatically entitle the customer to a refund. Unused nights or days remain due unless a written commercial gesture is granted.

Right of withdrawal

Vehicle rentals linked to a specific period or date may fall within exceptions to the right of withdrawal applicable to distance contracts. The customer acknowledges that the booking blocks a specific vehicle for specific dates.

This clause does not limit mandatory consumer rights where they apply. In case of doubt, confirmed specific terms and applicable law prevail.

Vehicle unavailability

If the booked vehicle becomes unavailable for a reason beyond RLab Adventure’s control, including breakdown, accident, immobilisation, previous renter delay or traffic restriction, RLab Adventure may offer an equivalent vehicle, postponement or refund of amounts already paid for the relevant rental.

No refund of indirect costs, holidays, hotels, tickets, activities, loss of income or moral damage is due, unless mandatory law or a specific written agreement provides otherwise.

Insurance, damage and prohibited use

The vehicle is insured according to the conditions confirmed in the agreement. Deductibles, exclusions, uncovered claims, interior damage, wrong fuel, negligence, lost keys, broken equipment or prohibited use may remain payable by the customer.

The following are prohibited in particular: sub-rental, lending to an unapproved driver, driving under influence, overloading, racing, unauthorised border crossing, use outside authorised roads, dangerous transport, smoking in the vehicle, modifying or dismantling equipment without agreement.

Accident, breakdown, fines and assistance

In case of accident, breakdown, theft, attempted theft, damage, technical alert or incident, the customer must notify RLab Adventure without delay and follow the instructions given. No repair, towing or significant expense may be committed without prior approval, except for safety emergencies.

Fines, administrative fees, tolls, offences, parking costs, low-emission zone charges and costs linked to the behaviour of the customer or passengers are recharged to the customer, even if received after vehicle return.

Data, evidence and applicable law

Data and documents provided are used to prepare and manage the rental, invoicing, security deposit, insurance, customer follow-up and administrative obligations. Written exchanges, quotes, confirmations, check-in/check-out reports, photos and reports may be used as evidence.

These terms are governed by Belgian law, subject to mandatory consumer rules. In case of difficulty, the parties prioritise an amicable solution before any other step.
